Front Office Manager/Receptionist

Position Summary:
The Receptionist/Front-End Office Manager is one of the most vital roles within our company. Not only will they be the face of our company, but this person will play a key role in managing and supporting day-to-day processes. This role requires the “blended” skill set of a top-notch receptionist, an energetic salesperson, and an experienced office manager. The ideal candidate will have a welcoming and
professional attitude, be energetic, reliable, efficient under pressure, and have the ability to learn and adapt quickly. Primary responsibilities include maintaining front-end operations, answering phones, scheduling appointments, greeting and engaging customers, onboarding/offboarding vehicles, communicating with/supporting technicians, managing vendors, processing payments and ordering inventory/supplies. Basic automotive knowledge is a plus!
Responsibilities Include (but are not limited to):
Manage/Maintain customer relationships (greet and engage customers with an aim to forge long-lasting relationships.)
General Office Management (including basic administrative duties, answering phones, scheduling appointments, handling mail/deliveries, etc.)
Follow-up with customers (to close deals, collect/provide information, schedule upcoming service, perform periodic checks-in, etc.)
Act as a liaison between customers and technicians/owner
Onboard vehicles when they arrive for service (take pictures, input customer/vehicle information into software system, etc.)
Offboard vehicles when services are completed (communicate/recap services performed to customer, if needed), process customer payments, coordinate vehicle pickups, etc.
Help manage inventory, order supplies, parts, etc.
Maintain front desk, lobby, work areas (keep clean and well maintained, includes light bathroom cleaning)
Other office duties as required
Skills Required:
Strong verbal and written communication skills (Bi-lingual a plus!)
Ability to engage with customers and staff in a manner in which they feel heard, respected, and valued
General understanding of Automobiles/Automotive Industry (or ability to quickly learn)
Computer literacy with working knowledge of Microsoft Office and Google products
Ability to gather pertinent details from customers and relay to technicians with accuracy
Ability to adhere to established systems and improve upon processes if needed
Exceptional attention to detail with strong organizational skills
Time management skills with ability to prioritize
Enthusiastic attitude with a strong aptitude for learning
Ability to manage conflict and maintain a positive work environment at all times
